AI CONSULTING FOR SMALL BUSINESSES

You already know AI could give your team back a few hours every week. What you probably don't have is a data scientist on payroll, a spare quarter to experiment, or the patience for one more tool nobody opens after the demo.

That's the situation our AI consulting for small businesses is built for. A small business AI consultant from our team finds the two or three spots in your company where AI will pay for itself fastest. Then our engineers build it, plug it into the tools you already use, and keep it running. You end up with working software instead of a strategy deck.

Why small businesses need a different kind of AI consulting

Big consultancies design AI programs for companies with in-house data teams and seven-figure budgets. Your situation is pretty much the opposite. You need a short list of use cases that pay back quickly, tools that fit the stack you already pay for, and something live within weeks.
When owners call us, they’re usually stuck on one of these:

Nobody in-house to lead it

Your people are good at their jobs. None of them has a free week to compare AI vendors or test models.

No room for a failed pilot

Every dollar must come back, so guessing gets expensive fast.

Data scattered across ten different tools

Customers live in the CRM, sales numbers in a spreadsheet, invoices somewhere else. AI can't do much until it has one clean place to look.

Too much hype to sort through

ChatGPT, Claude, Copilot, and a new "AI agent" every week. Which one actually fits how your team works?

Our AI consulting services for small businesses

Our AI consulting services for small businesses take you from "where do we even start?" to a tool your team opens every day. Pick one service or combine a few.

AI readiness audit

A one-to-two-week look at your processes, data, and tools that answers a single question: where will AI pay back first? You get a ranked list of use cases, each with the effort, cost, and impact we expect.

AI strategy and roadmap for small business

We take the top use cases and turn them into a practical AI strategy for small business: what to build first, which tools to use, what it'll cost to run, and how you'll know it's working. The roadmap covers three to 12 months and is sized to your budget and team.

Tool selection and AI integration

Most small businesses don't need a custom model. They need a good off-the-shelf tool, connected properly. We compare options like OpenAI (ChatGPT), Anthropic (Claude Code) against the way your team works, then handle AI integration for small business systems you already run: your CRM, help desk, ERP, Google Workspace, or Microsoft 365.

AI implementation and automation

Our AI implementation consultants and engineers build the actual workflows: data entry, document handling, lead routing, reporting. We write and test production code, which is the big difference from a solo consultant or a no-code agency, and it's why the automations keep working as your volumes grow.

Custom AI solutions

Sometimes an off-the-shelf tool won’t cut it. Then we build something custom, like an assistant that answers questions from your own documents during RAG development or a private LLM for sensitive data.

Team training and adoption

AI only pays off if people actually use it. We run hands-on sessions with your team, write short usage guidelines, and set up a simple way to collect feedback, so adoption sticks after we hand things over.

AI solutions for small businesses: practical use cases

The AI solutions for small business teams that pay off fastest take over the repetitive work your people already dread. Here's what we build most often.

AI chatbot for customer support

An AI chatbot for small business support answers routine questions around the clock, using your internal knowledge (help articles, order data, policies). When a case gets complicated, it passes it to a person along with the whole conversation, so your customer doesn't have to explain everything twice.

AI agents for back-office work

AI agents for small business operations take action on their own. They can read an invoice and enter it in your accounting tool, book meetings, update the CRM after a call, or chase a client for missing documents.

Sales and marketing automation

Score and route inbound leads, draft personalized follow-ups, and get call summaries dropped straight into your CRM. Your salespeople get their afternoons back for actual conversations.

Document processing and knowledge search

Ask a question in plain English and get the answer from your contracts, manuals, SOPs, or past projects, with a link to the source file. If your team spends a good chunk of the day digging through folders (professional services and logistics teams usually do), start here.

Reporting, forecasting, and inventory

Pull data from your tools into one place and let AI flag trends, forecast demand, and draft the weekly report before Monday's meeting.

Custom CRM with built-in AI

Off-the-shelf CRMs make small teams sell the way someone else designed, and per-seat fees climb with every hire. We build a CRM around how you sell, with AI inside it: lead scoring, next-best-action suggestions, automatic call and email summaries, and an alert when a deal starts to stall.

Custom account management systems

Keep every client's contracts, orders, invoices, renewals, and conversations in one place. AI spots accounts that look ready to churn, points out upsell chances, and drafts check-in emails for your account managers.

Client portals and internal tools

If your operations still run on spreadsheets and long email threads, we'll swap them for simple custom tools: self-service client portals, order and booking systems, approval workflows, admin dashboards. AI handles the routine bits, like answering client questions inside the portal or pre-filling requests.

AI consulting packages and pricing

The price mostly comes down to four things: how many systems we need to connect, what shape your data is in, whether off-the-shelf tools will do or you need custom development, and how many people will use the solution.

How our AI consulting process works

It takes five steps to get from a first call to working AI, usually two to eight weeks in total. At every point, you'll know what happens next and what we need from you.

Free discovery call

30 minutes
Tell us how the business runs and where time leaks away. We’ll give you an honest read on whether AI is worth it for you right now. All it takes is half an hour with the owner or your ops lead.
01 STEP
02 STEP

Readiness and opportunity map

1–2 weeks
We go through your processes, tools, and data, and score each AI idea on impact and effort. For that we’ll need access to your main tools and two or three short interviews with people on your team. What comes out is a ranked shortlist of use cases.

Roadmap with ROI estimate

Within the same two weeks
For the top picks, you get the scope, timeline, build and running costs, and the one metric we’ll use to judge success.
03 STEP
04 STEP

Build and integrate

2–6 weeks
Our engineers build the solution and connect it to your systems, and you’ll see a demo every week. On your side, we just need one person who can test things and tell us what feels off.

Measure, hand over, support

We train your team, track the metric we agreed on, and fix whatever needs fixing. After that it’s your call: run it yourselves or keep us on as your AI partner.

When we'll tell you to skip AI

Sometimes a simple rule, a spreadsheet formula, or a cleaner process solves the problem for less money. When that's the case, we'll say so. A good AI consultant protects your budget, not their own invoice.

UBIDEX: AI-powered QA framework for AdTech

The challenge

UBIDEX runs an AdTech platform for automated ad buying and retargeting, and it ships a new release every two weeks. Testing and release checks were almost entirely manual, with no automated coverage at all. That worked while the product was small. As it grew, each release needed more checking than the team could realistically keep up with.

They wanted better coverage and fewer release surprises, without slowing development or hiring more QA specialists. So they asked us where AI could take the pressure off.

What we did

We started with a consulting phase. After mapping UBIDEX’s workflows and the AI ideas on the table, test automation came out as the clear first win, with Claude Code doing the heavy lifting.

Our team designed a Java test framework organized around UBIDEX’s own domain, with reusable BDD steps that cover both UI and API tests. Then four Claude Code agents built it. One writes Gherkin scenarios, another implements the test logic, a third digs into failed runs, and an architect agent reviews every new piece of code against the framework’s design rules. Our QA specialists checked everything the agents produced before it went in.

We plugged the framework into UBIDEX’s GitLab pipeline, so smoke tests now run on their own against the live platform, and Allure reports show how results trend over time. Once that was running, we suggested a Claude Team plan so engineering, QA, and product could share the same context in their daily work.

Release checks now run without anyone babysitting them, and the team uses AI in requirements, coding, and support too. What started as one automation project has turned into an ongoing partnership.

Data security, privacy, and AI compliance

Small businesses hold customer and financial data too, and one leak can cost more than AI will ever save you. So we build protection in from the first step.

AI consulting for small businesses: FAQ

An AI consultant for small business figures out where AI will save you time or money, picks the right tools, and plans the rollout. At Aimprosoft, the same team then builds, connects, and supports what we recommend, so the advice turns into software your people use.
A strategy engagement starts at $2,000, and getting your first use case into production costs up to $8,000. The final pricedepends on how many systems we connect, what shape your data is in, and how much custom work you need.
After launch, you pay for AI tool licenses or model usage. For many small business use cases, that’s around $10-$150 a month. We estimate it in the roadmap, before you commit to a build.
It is if there’s a repetitive task eating real hours or revenue. If our AI readiness check doesn’t turn one up, we’ll tell you, and you’ll have spent a couple of weeks finding out rather than a few months.
Most clients have a first use case live in two to eight weeks. The readiness check and roadmap take up about two of those.
No. Getting your data into usable shape and handling the technical side is our job. From you, we need one person who knows the process and can give us feedback.
It’s a rule of thumb, popularized by BCG, that AI success comes about 10% from algorithms, 20% from technology and data, and 70% from people and processes. That’s why every engagement starts with mapping how your processes work and ends with training your team, with the build in between. Automate a messy process and you just get a faster mess.
Yes. We connect AI to the tools small businesses use most, like Google Workspace, Microsoft 365, HubSpot, Salesforce, Zendesk, Shopify, and your accounting software. That’s not the full list. If a tool has no ready-made integration, we can usually build a custom one through its API. We’ll scope that separately, and we’ll tell you upfront if a system is closed off by its vendor’s contract terms and can’t be connected.
We set up AI so your confidential data stays inside a secure perimeter. You decide who can access it, and that includes our team and the AI vendors. We use business-grade accounts and APIs where your inputs aren’t used to train public models.
Yes. We hand over documentation and train your team to run it. If you’d rather not, we can stay on as your fractional AI consultant for monitoring, updates, and new use cases.
